A Landlord's Checklist for Property Viewings

Why the Viewing Does Most of the Selling
In Sheffield, a good property can attract half a dozen enquiries in a week, and a disappointing viewing can lose a strong applicant before they've reached the end of the street. Applicants rarely make a purely logical decision. They are asking themselves whether the place feels warm, dry and well looked after — and whether you, as the landlord, seem like someone who answers the phone. The viewing is where that judgement is made, and it is surprisingly easy to get right.
Arrive Early and Run a Ten-Minute Check
Plan to be at the property at least fifteen minutes before the first appointment. That window is not spare time; it is the most valuable part of your day. Use it to walk the property as an applicant would, opening the front door, standing in the hall and looking up.
- Lights and heating: switch on lamps, open curtains and blinds, and put the heating on if the weather is cold or damp. A property that feels chilly in November will always seem worse than it is.
- Kerb appeal: clear leaves from the path, wipe the front door, check the bin store is tidy and make sure the outside light works. In older terraced streets around Crookes, Walkley and Nether Edge, a well-kept frontage sets a tone that carries all the way upstairs.
- Quick clean: wipe kitchen worktops, check the fridge and bins, and give the bathroom a once-over. Small marks — a scuffed skirting board, a dripping tap — are much easier to explain than to ignore.
- Paperwork ready: have the EPC, gas safety record, electrical installation condition report and a blank inventory or draft tenancy agreement to hand. Showing documents without being asked quietly says that you run things properly.
Air the Rooms Before Anyone Walks In
Odour is the single most common reason a viewing falls flat, and it is almost always fixable. Open windows in every room for ten to fifteen minutes before the first arrival, starting with the bedrooms, bathrooms and any room where a pet has been. Sheffield's older stone-built terraces and properties with single-glazed sash windows hold damp air, so ventilation matters more than air freshener — a spray simply layers a scent on top of a problem. If a room smells musty, look for the cause: a blocked air brick, a leaking gutter, condensation on cold walls or laundry dried indoors. Deal with it now rather than describing it away later. Close the windows just before applicants arrive, leave internal doors open so the layout reads clearly, and let daylight do the rest.
Test the Smoke Alarms — and Be Ready to Show It
Test every smoke alarm and any carbon monoxide alarm before the viewing, not during it. It is a legal requirement to have smoke alarms fitted on each storey of the property, and a carbon monoxide alarm in any room with a fixed combustion appliance such as a gas boiler or open fire. A chirping or silent alarm is both a compliance risk and a bad sign to an observant applicant. If a tenant will be present, tell them in advance that you are testing alarms so nobody is startled.
While you are there, check the obvious safety points: the boiler pressure, the condition of the consumer unit, and whether any window restrictors or safety glass are in place. You do not need to recite regulations during the viewing, but you should be able to say, confidently, when the last gas safety check was done and that the certificates are available.
Have Straight Answers on Bills, Parking and Amenities
Applicants ask the same handful of questions, and vague answers create doubt. Know the figures before you arrive, and if you are unsure about something, promise to confirm it in writing the same day — then do it.
- Council tax: know the band and the annual cost, and be clear about who is liable. If the property is let to a group of full-time students, explain how any exemption or discount works and who needs to apply.
- Utility costs: give realistic monthly ranges rather than a single guess. For a modest two-bedroom terrace, expect water in the region of £35–£45 a month and energy somewhere between £100 and £140 depending on the heating and the household. Mention the EPC rating and any insulation improvements.
- Parking: be honest about whether a permit is needed. Many streets in Broomhill, Sharrow, Crookesmoor and around the hospitals fall within residents' parking zones, and applicants who commute by car will want to know the cost and the waiting time.
- Local amenities: talk about travel times, not just distances. Buses along Ecclesall Road, the tram from Hillsborough and the city centre, and direct trains from Sheffield station to Manchester and Leeds all matter. So do the everyday things — the nearest supermarket, a decent park such as Endcliffe or Graves, and how quickly you can be in the Peak District.
- The tenancy terms: rent, deposit, how it will be protected, notice periods and who handles repairs. Clarity here reassures good applicants and filters out those who were never going to sign.
Keep the Viewing Calm, Honest and Followed Up
Let applicants walk ahead of you so they can picture themselves in the space. Answer questions directly, and never talk over a problem that they have clearly spotted — acknowledge it and explain what you will do about it. If a room is small, say so; a mismatch of expectations costs far more time than an honest description. Afterwards, send a short follow-up message within twenty-four hours with the key facts you promised and a clear next step. In a city where good tenants have choices, the landlord who is prepared, punctual and straightforward usually wins the tenancy — and keeps it.
